Property Management
As part of the asset management process Titan supervises and coordinates property technical management, project management services and property financial management. The property manager will be “best in class”, familiar with what is required on multi-let management intensive assets and appointed by separate agreements.
Services for property technical management include, but are not limited to:
- Responsible for setting up an implemented planned preventative maintenance schedule at all properties;
- Preparation of service charge budget in line with asset management strategy at property level including issuing annual budget;
- Review of maintenance contract performance;
- Service charge reconciliation;
- Preparation of Schedule of Condition at all new lettings / renewals where possible;
- Preparations of dilapidation schedules at break or lease expiry;
- Handing over of units at lease commencement and expiry;
- Enforcement of lease covenants compliance, housekeeping issues and breaches by tenants;
- Supervision of minor works at property;
- Manage all day to day building maintenance issues including contractor instruction;
- Responsible for fortnightly building inspections including supervision of planned preventative maintenance and void unit management;
- Co-ordination of insurance policy and claims; and
- Frontline point of contact for all tenants at the property.
Services for project management include:
- Specification, costing, coordination and management of refurbishment.
Services for property financial management include, but are not limited to:
- Raising and issuing of all rent and service charge invoicing to tenants;
- Posting all receipts for rent and service charge;
- Posting supplier invoices and payment of suppliers from service charge account;
- Credit control and issuing tenant ‘chaser’ letters;
- Responsible for and overseeing rent service charge and supplier credit control;
- Responsible for setting up and drawing down, as appropriate, bank guarantees;
- Instigating bailiff and legal action, co-ordinate and manage litigation in respect of rent and service charge arrears;
- Preparation and the supply of all client-reporting relating to rent, service charge and service charge suppliers;
- Reporting of rent arrears and non-recoverable expenditure on a monthly/quarterly basis and management warning reports;
- Responsible for property management data integrity, within the property management system; and
- Administrator level on property management system.
